Poster Presentation Guidelines

To ensure consistency, clarity, and professionalism, presenters are requested to adhere to the following detailed guidelines:

Poster Layout and Structure

Title Section:

  • Place the title at the top, bold and large (72-120 pt font).
  • Include your name, credentials, and affiliation beneath the title.
  • Ensure it is readable from a distance (3-5 feet).

Main Sections:

  • Organize content into clearly defined sections:
    • Introduction
    • Objectives
    • Methods/Approach
    • Results/Findings
    • Discussion/Implications
    • Conclusion
    • References (if needed)
    • Acknowledgments
  • Arrange sections logically, either:
    • Top-to-bottom
    • Left-to-right (Z-pattern or columns)

Design and Formatting

  • Size: Width: 3 feet x Height: 4 feet
  • Color Scheme:
    • Use a professional and cohesive color palette (3-4 colors).
    • Avoid overly bright or clashing colors.
    • Ensure text contrasts well with the background (e.g., dark text on a light background).
  • Font:
    • Use simple, sans-serif fonts.
    • Font sizes:
      • Title: 72-120 pt
      • Headings: 36-48 pt
      • Body text: 24-32 pt
      • Captions: 18-24 pt
  • Spacing: Leave sufficient white space to avoid a cluttered look. Margins should be uniform and balanced.
  • Images and Graphics:
    • Use high-resolution images (300 dpi or higher).
    • Include graphs, charts, and diagrams to visualize data.
    • Add descriptive captions to all visuals.

Content Guidelines

  • Brevity: Keep text concise. Use bullet points and short sentences. Avoid long paragraphs, stick to key points.
  • Clarity: Use plain, jargon-free language. Define technical terms or acronyms.
  • Visuals: Use visuals to convey complex information (e.g., flowcharts, timelines). Ensure visuals are labeled and aligned with your content.
  • Key Highlights: Use bold or colored text sparingly to emphasize key points.

Printing and Materials

  • Use only biodegradable materials.

Presentation Tips

  • Prepare a Brief Summary: Be ready to explain your poster in 2-3 minutes. Practice a clear and engaging introduction.
  • Engage the Audience: Invite questions and discussions.
  • Additional Materials: Carry adhesive materials (e.g., push pins, tape) to set up your poster.

General Tips

  • Use charts, graphs, or images where relevant to support data and enhance clarity.
  • Avoid reading the poster verbatim; explain and expand on key points.
  • Ensure the poster is legible from a distance of 10 meters.
  • Familiarize yourself with the presentation equipment in advance.

Code of Conduct

  • Presenters are expected to maintain a professional tone and demeanor.
  • Adhere to the allotted time strictly.
  • Time slots will be communicated directly as well as published on the conference website.

Evaluation Criteria

  • Content Quality: Relevance, originality, and depth.
  • Clarity: Organization and delivery of the content.
  • Visual Appeal: Design and readability of slides.
  • Engagement: Interaction during the Q&A session.

Oral Paper Presentation Guidelines

To ensure consistency, clarity, and professionalism, presenters are requested to adhere to the following detailed guidelines:

1. Presentation Format

  • Time Allocation:
    • Presentation: 8 minutes
    • Q&A Session: 2 minutes
    • Total time: 10 minutes per speaker.
  • Presentation Software: PowerPoint (PPT or PPTX format)

2. Slide Guidelines

  • Number of Slides: Preferably less than 10 slides, including:
    • Title Slide
    • Content Slides (8 slides)
    • Thank You Slide
  • Slide Design:
    • Keep slides simple and visually appealing
    • Avoid overcrowding with text or images
  • Font Style and Size:
    • Use readable fonts (e.g., Arial, Calibri, or Times New Roman).
    • Minimum font size: 24 pts for body text and 32 pts for headings.
  • Aspect Ratio: 16:9
  • Colour Scheme:
    • Use high-contrast colours (e.g., dark text on a light background).
    • Avoid bright, clashing, or overly decorative backgrounds.
  • Bullet Points: Limit each slide to 4-6 bullet points. Avoid complete sentences; use concise keywords or phrases.

3. Content Guidelines

  • Title Slide: Include:
    • Title of the paper
    • Name of the presenter and co-authors (if any)
    • Institution or affiliation
  • Content Slides: Provide a clear and logical flow of information, covering:
    • Background/Introduction
    • Objectives or Research Questions
    • Methods/Methodology
    • Results/Findings
    • Discussion/Interpretation
    • Conclusion and Recommendations
    • References
  • Thank You Slide: Include a simple "Thank You" message and contact details (optional).

4. Technical Requirements

  • Slides should be compatible with Microsoft PowerPoint 2019 or later versions.
  • Use standard fonts to avoid compatibility issues.
  • If using multimedia (e.g., videos or animations), test compatibility beforehand and ensure they are embedded into the presentation.
  • The presentation file must be submitted on or before 15 January 2024, 11:59 p.m.

  • Time Management: Rehearse to stay within the 7-minute time limit.
  • Clarity: Speak clearly and confidently. Use a laser pointer or highlight key points if needed.
  • Engagement: Address the audience directly and maintain eye contact.

Instructions for Abstract Submission for AFPICON Kerala 2025

Please read all instructions carefully before submitting your abstract

Please submit all abstracts to abstract@afpikerala.in in the required Word format (.doc or .docx). The prescribed template can be downloaded from https://afpicon2025.afpikerala.in

Eligibility for Submission

  • Only registered delegates can submit abstracts. Abstracts without a registration number will not be considered
  • The presenting author must be a registered delegate for the conference
  • Poster presentation is exclusively for PG residents

Abstract Format and Structure

  • Language: Abstracts must be submitted in English and structured format
  • Word Limit: Abstracts should not exceed 250 words, including tables and graphs
  • Font and Spacing: Use a minimum font size of 9 points, single-spaced, and ensure the abstract fits within the designated submission area

Structure:

Research papers:

  • Title: Clear and concise title of the study
  • Authors: List all authors, underlining the name of the presenting author
  • Institution: Mention the affiliated institution(s) of the authors
  • Text Structure:
    • Aims and Objectives: Outline the study's purpose
    • Methods: Describe the methodology used
    • Results: Summarize the findings
    • Conclusions: State the main conclusion(s)

Case Report/Series:

  • Background: What is the unique or significant problem highlighted by this case
  • Case Description
  • Discussion
  • Learning Point: What is the take-home message from this report?

Content Specifications

  • Abbreviations: Standard abbreviations are acceptable. For uncommon abbreviations, include the full term the first time, followed by the abbreviation in parentheses
  • Tables and Graphs: Simple tables and graphs are allowed if they fit within the submission area. Photographs will not be accepted
  • Multiple Submissions: There is no limit on the number of abstracts an individual may submit

Submission Deadline

All abstracts must be submitted by December 20, 2024

Acknowledgment and Evaluation

  • Receipt of abstract submissions will be acknowledged via email to the contact author
  • The abstract will be evaluated by the AFPICON Kerala 2025 scientific committee
  • Authors will be notified if the abstract is selected for poster or oral presentation
  • The AFPICON Kerala 2025 scientific committee’s decision shall be final

Acceptance and Revision

Authors of selected abstracts will receive acceptance or rejection notifications along with reviewer comments

If revisions are required, the revised abstract must be resubmitted within three working days of receiving the notification
